The end is near! Well, the end of the year and in January the new accounting year 2021 starts. Für Cashiers and Bookkeepers, the credo draws itself from Christmas still into January: every year again! A new accounting year starts with an Opening Balance. Here we have implemented two new features.
Also for group meetings there is an improvement, these are now available as filters in the person list and the bulk letters were improved in such a way that one can decide whether households are to be summarized or not.
Transfer master data and enter OB values
Each accounting year starts the same in some points. For example, each accounting year opens with an opening balance sheet (OP). This means that balance sheet accounts are posted on 1st of January with OB values. This task can be done manually, of course. How to do this is described in our online help. However, this task can also be performed automatically.
Especially if you open a lot of balance sheet accounts, it is nice to be supported by the system, with version 3.66 this is now possible.
When creating a new accounting year there are now two new options. In order to post the OB values, a chart of accounts must exist. With the option “Transfer master data to new accounting year”, accounts, cost centers, purposes and taxes are already created in the new accounting year, exactly as it is stored in the current one. That saves a lot of time!
Secondly, you have the possibility to transfer the opening balance sheet values (OB values). If there is more than one OB account on the chart of accounts, you can select one (1). This is used as a carry forward account for the OB values. It is also possible to select exactly for which accounts OB values should be created in the new year (2). So you can already start the new accounting year with the cash accounts. If the selection is made, just click (3) on “Create” and ChurchTools will create everything.
Bulk letters per household
ChurchTools offers the possibility to create bulk letters. All you need is the necessary rights and you can select persons (e.g. via a filter) and create bulk letters. Here we have now added an option that allows you to decide whether a letter should be created per person or per household.
If you select per household, only one letter (PDF) will be created for all persons having the same address (street, addition, postal code, city, country).
Filter by group meetings
Group meetings are not a new feature in ChurchTools, but for events with registrations they are very useful. But the question is: Who was actually there? This question can be answered with the group filters in the module Persons & Groups. If a group has group meetings, these can be selected as filters.
